A job management board you shape around how your work moves

A job management board shows every job as a card in a column, so anyone can see what’s new, quoted, booked, done and paid at a glance. Karya Falak’s boards work like Trello but are built for customer work: messages land as cards, and quotes, visits and invoices sit on the card. You name the columns. Trades start with New enquiry, Quoted, Booked, In progress, Invoiced and Paid, and you can change any of them.

Starting columns for your kind of business

When you sign up you pick your kind of business, and your first board comes set up to match. Rename, reorder, add or remove columns whenever you like.

See how each looks on the trades, cleaning, IT and office pages.

What lives on a card

  • A reference such as WPG-4 that you can read out over the phone.
  • The customer, their contact details and the whole conversation from the shared inbox.
  • Several people, each in a role such as Lead and Helper, or Engineer and Reviewer.
  • A due date, a priority and labels in your colours.
  • Your own fields, such as job type, permit number or meter reading.
  • The quote, the visits on the Calendar and the invoice.
  • Photos, PDFs and other files that open on the card.
  • A history of every change: who changed what, and from what to what.

Rules that keep the board honest

  • Work-in-progress limits on a column, so In progress cannot quietly fill up.
  • Done columns, so finished work is counted properly in reports and reply targets.
  • Required fields before a card can move to done. For example, nothing is marked finished without a certificate number.
  • Board membership: team members see only the boards they are on, and owners and admins see every board. Field members see only the jobs they are on, in the Field app.
  • One Incoming board where new conversations start, and team boards for the work after that.

More than one way to look at the work

A board is the default, but the same cards can be shown other ways:

  • A table view you can sort and filter, including by reply target.
  • Bulk actions on many cards at once.
  • Saved views of your filters, kept private or shared with the team.
  • A calendar view of a board.
  • Export any column to CSV or text.

Moving across from Trello

If your jobs live on a Trello board today, connect Trello directly or upload its JSON export. Lists become columns in order, and cards keep their descriptions, labels, checklists, comments, due dates and files. They keep their original age too, so old jobs don’t look new. CSV exports from Asana, Jira, monday.com and ClickUp become boards too, with labels, due dates and subtasks as checklists where the file has them. See import for the details.

A board or a fixed job list?

Many job apps give you a fixed set of statuses. That’s fine if your work fits them. A board suits you better if your jobs pass through stages a fixed list doesn’t have, such as waiting on parts, waiting on council, waiting on the strata manager or with a subcontractor. It also suits businesses that aren’t trades at all, like IT support desks, agencies and venues, which can use the same tool with their own words.

Automations can move cards for you. For example, a card moves to Booked when a visit is booked and to Quoted when a quote is sent.

Questions

How many boards can I have?

As many as you need. Boards, columns and cards are not limited on either plan.

Can I move a card from one board to another?

Yes, if you are a member of both boards. The card keeps its history, conversation and documents.

Can staff see jobs they aren’t working on?

Team members see the boards they belong to, and owners and admins see every board. Field members see only the jobs they are on.

Does it work on a phone?

For the office, yes. Owners, admins and team members can use Karya Falak in the browser on a phone, tablet or computer, and add it to the home screen. Field members work in the Karya Falak Field app for iPhone and Android.
