Fill in this free quote template and it works out the GST, the total and any deposit, then prints or saves as a PDF. It follows what Australian regulators suggest a quote should show: your business name and ABN, a quote number and date, a valid-until date, what is and isn’t included, line items with GST, and a place for the customer to accept. Below the generator is what each part is for, plus versions for eight trades.

Send it as a real quote your customer accepts online
In Karya Falak a quote goes out as a link. Your customer picks any options and accepts on their phone, and the job moves to Booked.
Each field maps to something a customer, or a regulator, expects to see. Leave out what doesn’t apply to you.

How to use it
Tick Registered for GST if you are. Leave it off and the quote shows no GST at all, which is correct for a business that isn’t registered.
Fill in your business details and add your logo.
Add the customer and the site, then write the scope in plain words.
Add a line for each part of the job. Keep labour, materials and call-out on separate lines so the customer can see where the money goes.
Set the valid-until date and any deposit, and check your terms.
Check the totals, then print or save as a PDF and send it.
What an Australian quote should show
No law lists what a quote must contain, but state regulators publish the same advice. Business Queensland, Consumer Affairs Victoria and Consumer Protection WA all suggest these:
Your legal and trading name, ABN, address and contact details.
A breakdown of the line items and a total, with the GST shown.
An expiry date. Business Queensland puts it bluntly: without one, you may have to honour a quote that loses you money.
What is and isn’t included: materials, labour, apprentice time, transport, call-out fees, weekend and public holiday rates.
How changes, delays, late payments and late fees will be handled.
Two points catch people out. Consumer Protection WA says that if a call-out fee isn’t in the quote, the customer doesn’t have to pay it. And the ACCC expects prices shown to consumers to include GST as a single total, so "plus GST" in small print on a quote to a homeowner is a risk.
A quote is a promise; an estimate is a careful guess
Once a customer accepts a quote, it forms part of a binding contract, and they only have to pay what was agreed. An estimate is not binding, but under the Australian Consumer Law you must use your skill and experience to make it, and the final bill shouldn’t be much higher. Either way, get the customer’s agreement before doing extra work, and send a revised quote. More in quote vs estimate.
Deposits: what the rules say
For ordinary service jobs, no national law caps a deposit, but consumer regulators tell consumers to pay a small deposit of no more than 10% and not to pay in full before the work is done. For residential building work, some states set a legal maximum. These are the ones we checked; other states have their own rules.
Which trades count as residential building work depends on the state and the job. Check with your regulator before you set a deposit on a renovation, deck, extension or structural job.

The GST maths the generator does
GST is 10% of the price before GST, which makes it one eleventh of a GST-inclusive price. The generator adds the unrounded GST from every taxable line and rounds once, to the nearest cent, with half a cent going up.It works out the GST on each line and rounds it to the cent, then adds the lines up: the ATO’s taxable supply rule, the same method Xero and QuickBooks use, so the totals match your books. GST-free lines are left out of the GST. See GST for tradies for when you need to register.
Send it as a real quote customers accept online
A PDF works, but then you wait for a reply, chase it, and type the job up again as an invoice. In Karya Falak a quote goes as a link with your logo and colours. The customer can:
tick optional extras, such as Option A repair or Option B replace, and watch the total change
accept by typing their name and signing with a finger, which you can make required
ask for changes, which puts their note on the job card
pay the deposit by card, PayID or bank transfer once they accept
You are told when the quote is opened and when it is accepted. If the quote asks for a deposit, accepting issues the deposit invoice straight away, and after the valid-until date the link shows that the quote has expired. Lines can come from your price book, and when the work is done the accepted lines become a draft invoice in one click. Rules checked 30 October 2026 against ato.gov.au, business.gov.au, ACCC and state regulator guidance. General information only, not tax or legal advice. Ask your accountant, BAS agent or state regulator about your own situation.
Questions
Is the quote template free?
Yes. Fill it in, then print it or save it as a PDF. You don’t need an account.
Do I have to show GST on a quote?
If you are registered for GST, show it, and give homeowners the GST-inclusive total. If you aren’t registered, don’t add GST at all.
How long should a quote be valid for?
No law sets a period. Pick one that suits how fast your material prices move, and always print the date. Regulators say a quote without an expiry date can leave you stuck with an old price.
Is a quote legally binding in Australia?
Once the customer accepts it, the quote forms part of a binding contract, and they only have to pay the agreed amount. Extra work needs their agreement first.
Can I use this as an estimate instead?
Yes. Title it Estimate, say what could change the price, and keep the figure as close as you honestly can. An estimate that is deliberately low can be misleading.
