Price book software that fills in your quotes for you

Karya Falak’s price book software holds the items, labour rates and kits you sell, each with your price, its GST code and, if you want, what it costs you. Start typing a line on a quote or invoice and matching items appear; pick one and the name, price and tax fill themselves in. Staff see the margin. Customers never see the cost.

What an item holds

  • A name, an optional code (your SKU or supplier code) and a description.
  • A category, and whether it is labour or material.
  • A unit, such as each, hour or metre.
  • A unit price, its tax code (GST, GST-free or input-taxed) and whether the price includes GST.
  • An optional cost per unit before GST, and the markup it was priced with.

Kits for the jobs you do every week

A kit is a bundle of items with quantities, such as a downlight install with the light, the driver, cable and an hour of labour. Pick the kit onto a quote and it expands into its items, multiplied by the quantity. A kit’s price and cost come from its items, so updating one item updates every kit that uses it from then on.

Picking is faster than typing

The line’s description box is the search. It matches every word you type against names, codes and categories, an exact code first. Use the arrow keys and Enter, or tap. A line you type by hand still saves as it is, and owners and admins can use Save to price book on any line to keep it for next time.

Picking copies the item onto the line. Editing the line never changes the item, and changing the item never changes a quote or invoice you already sent.

Cost, markup and margin

Enter a cost and a markup percentage and the price is worked out for you, including or excluding GST as the item is priced. Set a default markup in Settings for lines that have a cost and no markup. On a quote, staff see the cost and the margin across the lines that are in; a line with no cost is shown apart, never counted as free.

Costs stay with your team. They are never on the customer’s quote page, the PDF or the acceptance record. For profit across the whole job, including labour and expenses, see job costing.

Bring your price list with you

Import and export the price book as CSV, with codes, prices, tax, cost and kits. If you are moving from another job app, the import tool has presets for materials exported from ServiceM8, Tradify, Fergus, Jobber and simPRO. Every row is previewed before anything changes, and an import can be undone for seven days.

Used across the product

  • Quotes and invoices pick lines from it.
  • Repeating visits bill lines picked from it.
  • Online booking offers the items you mark as bookable, with their length and price.
  • Archived items leave the pickers but stay in their kits and old documents.

Who can change it

Everyone in the office can pick from the price book. Owners and admins add, change, archive and import items, so prices do not drift because someone edited a rate on the fly. Field members do not see your costs.

Questions

Can I use supplier codes?

Yes. Each item can have a code made of letters, numbers and a few symbols. Codes are unique in your business and match first when you type them.

Do price changes affect quotes I have already sent?

No. A line copies the item when it is picked. Changing the item later only affects new lines.

Can a kit contain another kit?

No. A kit holds items only, which keeps prices easy to follow.
