Help desk software for Australian teams that outgrew the shared mailbox

Karya Falak is help desk software for Australian support desks, admin teams and agencies. Every customer request from email or your web form becomes a ticket on a board, with an owner, a due date and a response target that counts business hours only. Everyone sees who replied and when, and who is typing a reply right now, so the same customer is not answered twice, and the board works like the Trello you already know.

Out of the shared mailbox

A request lands in one inbox with the customer’s history beside it and becomes a ticket. Assign it and the rest of the team can see it is taken. Saved replies fill in the customer’s name, and each reply records who sent it. WhatsApp and SMS messages land in the same inbox.

Boards that fit how you work

A support team starts with New, In progress, Waiting on customer and Resolved, with Lead and Escalation roles. Add any columns, set work-in-progress limits, and choose who sees each board. Automations route requests by channel, by the words in the message or by the customer’s tag. Leaving Trello? Connect it directly and bring the cards and their files across.

For agencies: a board per client

Give each client their own board and only the people who work on it. A ready-made new client onboarding form sets the steps once. When the work is done, several requests for one customer can go on one invoice, with the lines grouped by ticket.

Moving in and out

Import brings contacts from Zendesk, Freshdesk and Help Scout, and tasks from Asana, Jira, monday.com and ClickUp, with a preview and seven days to undo. Any board column exports to CSV or text whenever you like. Starter is A$49 a month for up to 10 people in the office; see pricing.

Inbox to job

Every message, one inbox

Customers keep messaging the way they like. Half an hour of back and forth becomes one card, and the longest wait sits on top.

  • Saved replies with their name filled in
  • See who replied, and when

Claude and ChatGPT

Just ask what’s on today

Connect Karya Falak to your own Claude or ChatGPT and ask what is on today, who is waiting on a reply, or which jobs are done but not invoiced.

  • It works as you, with your permissions
  • It asks before anything changes
  • Tickets and days show as cards in the chat

On every plan. Karya Falak does not run the AI; your own Claude or ChatGPT account does.

How to connect

Calendar

The whole team, one Calendar

Visits, meetings, time off and public holidays for every Australian state, by Month, Week, Day or Agenda. Drag a visit to move it.

  • Leave asked for and approved
  • Warned before a clash
  • The day ahead, each morning

Quotes and invoices

Paperwork that looks like you

Your logo and colours on every quote, invoice and job sheet. Customers accept on their phone and pay by card, PayID or bank transfer.

  • Optional extras and a deposit
  • GST, your ABN and a payment slip with a QR code
  • PAID and OVERDUE stamps

Karya Falak Field

The job, in your crew’s pocket

Today’s visits in order, every job on the map, gate codes and pets before they knock, and On my way in one tap.

  • Works with no signal
  • Photos and a signature to finish
  • Field members are A$9 a month each

Location is read only while the app is open, to show distances and stamp arrival. With a live On my way link it is shared only while you’re on the way to a job, and stops when you arrive. Never in the background.

Features

And the rest of what the job needs

  • Price book

Items and kits with your price, cost and margin, offered as you type a quote or invoice line.

  • Visits that repeat

Weekly, fortnightly or monthly, dragged to another day or person, with a reminder to the customer the day before.

  • Automations

Rules that label, assign, move a card or reply when a message arrives, a quote is accepted or a visit is booked.

  • Reply targets and business hours

First-reply and finish targets that count only the hours you are open, and someone hears when one is missed.

  • Notifications

Mentions, assignments, new conversations and closing WhatsApp windows, in the app, by email or as a push.

  • Files that open in place

Pictures, PDFs, text, Markdown, JSON and CSV open right on the ticket or the reply.

  • Every change on the ticket

Who changed what, and from what to what: columns, people, dates, fields, quotes, invoices and visits.

  • Your own fields and labels

Record what your work needs, make it required before a job is done, and make labels in your colours.

  • Contacts that stay joined up

The same person by phone, email and form is one contact, with their saved addresses.

Works with

Fits in with the tools you already use

  • Xero

Invoices reach Xero with the same lines and tax, to the cent, and a payment recorded in Xero comes back to the job.

  • QuickBooks Online

The same for QuickBooks: invoices, customers and payments both ways. One accounting system per business.

  • Google Calendar and Outlook

Two-way sync: your visits and events go out, and busy time in your own calendar counts here.

  • Bring your jobs with you

Import from ServiceM8, Tradify, Fergus, Jobber, simPRO, Trello, Asana, Jira, monday.com, ClickUp or any spreadsheet.

Add-ons, on either plan

  • Field members

    A$9 a member, a month

A field member sees only their own jobs and takes none of Starter’s 10 seats; everyone else uses the app at no extra charge.

  • Text messaging

    A$19 a month

An Australian number for sending and receiving SMS. Message costs are passed through at what the carrier charges, and you can see them on your usage page.

For example, Starter with up to 10 people in the office and no field members is A$49 a month.

Security

Built to be trusted with a customer list

  • Your data stays in Sydney

The database and every file live in Australia, not in another country’s region by default.

  • One business cannot see another

Separation is enforced by the database itself on every query, not by a filter the application remembers to add.

  • Nothing goes out unchecked

Opt-outs are honoured before a send, and every action goes into an audit log that can be added to, never edited.

Questions

Questions people ask before they start

Can my team share one number?

Yes. Everyone on the board can answer one WhatsApp or SMS number. Each reply records who sent it, and a card can be assigned so two people do not answer the same customer.

Do I need a Meta business account for WhatsApp?

Yes, for WhatsApp: you connect a Meta business account and a phone number you control during setup. SMS, email and web forms need no Meta account, so you can start with those today.

Can I export my data?

Yes. Any board column or contact list exports to CSV or text on demand. The download link expires, and the export is recorded in your audit log.

Does it work on a phone?

Yes. Karya Falak runs in the browser on a phone, a tablet or a desktop, and you can add it to your home screen. The people on the road also have the Field app.

What does the Field app cost?

The app itself costs nothing. Only field members, the people who use just the app, are A$9 a month each.

Can I move over from ServiceM8?

Yes. Export your clients, materials and jobs from ServiceM8 as CSV files, with no API key needed, and import them in Settings. Every row is previewed before anything changes, and an import can be undone for seven days.

What happens after the trial?

When the 14 days end, pick Starter or Growth to keep going. Nothing is charged until you do.

You do the work. We’ll keep the paperwork moving.

Connect the channel your customers use most, invite your team, and put next week’s work through it.
