A visit belongs to the job

In Karya Falak a visit is booked on the job card, so the customer, the site address and the quote are all one click away. Pick a start and end, or make it all day, add the people going and any notes, and save. The site is stored as a proper address with suburb and postcode, and a customer’s saved addresses can be copied onto a job in one click.

The card on the board shows the suburb and the visit time, and the visit shows on the Calendar for everyone who needs to see it.

Week by person, day by the hour

• Month, Week, Day and Agenda views. The week view has a row per person and one for Unassigned work.
• Drag a visit to another day or person, or stretch it to change its length. Moves can be undone.
• Business hours shade the hours you are closed.
• Works by keyboard as well as by mouse, and on a phone it becomes the day’s list.
• Moving a visit keeps its time across a daylight saving change.

Warned before a clash

Book someone who is already busy, on approved leave or on a public holiday and the Calendar tells you before you save. Public holidays come for every Australian state and territory and follow each person’s work location, so Melbourne Cup Day shows for your Melbourne crew and not for the one in Brisbane.

Time off is asked for and approved in the same place, so the Calendar always shows who is actually available.

Repeating visits for regular work

Cleans, garden visits, pool care and service contracts can repeat weekly, fortnightly or monthly. Karya Falak makes the visits 12 weeks ahead and keeps going. Drag one to another day without changing the rest, and, with reminders on, each customer hears from you before each visit.

Each series can also be invoiced per visit or once a month, with the lines you choose, as drafts to check or issued and sent automatically. See invoicing.

Everyone knows the day ahead

• An optional morning summary of the day ahead for each person.
• Calendar invitations (.ics) for events, which outside guests can answer.
• Two-way sync with Google Calendar and Outlook, or a private one-way feed each person can subscribe to from their own calendar app.
• An office day map with a pin per person for the day’s visits. It shows where work is, and does not plan routes.
• Field members see only their own visits, in the Field app on iPhone and Android.

Built for crews, not just one person

Put more than one person on a visit. Give each person a role on it, such as lead or helper. A field member, someone who only needs their own jobs, costs A$9 a month on either plan and does not use one of Starter’s 10 office seats. Office staff, IT teams and hospitality venues use the same Calendar for meetings, functions, releases and leave.

Customers can book themselves

What it does not do

Karya Falak keeps scheduling simple. It does not plan routes or follow your crew around during the day. If you need heavy route planning for a large fleet, a specialist tool will suit you better.
