Job management software features in Karya Falak
Here are the job management software features in Karya Falak, built for Australian service businesses. A customer’s message lands in one shared inbox, becomes a card on a board, and that card carries the quote, the visit and the tax invoice until the job is paid. This page lists every feature, what it does and who it suits, so you can see whether it covers your day before you start a 14-day trial.
Every feature
- Shared inboxOne shared inbox for your team’s email, WhatsApp, SMS and web form enquiries. Every conversation becomes a job card with an owner. Data stays in Sydney.
- WhatsAppAnswer customer WhatsApp messages from one business number as a team, and turn each chat into a job card with its quotes and invoices, tracked to the customer.
- SMSText customers from one Australian business number and read replies in a shared inbox. Each conversation becomes a job card. An add-on for both plans.
- Web formsA hosted enquiry form with your own questions. Each submission lands in your shared inbox as a job card on the board you choose. No plugin or developer needed.
- Job boardSee every job as a card moving through columns you name: new, quoted, booked, invoiced, paid. Quotes, visits and invoices live on the card. Try it free.
- AutomationsSimple rules that label, assign, move, notify or reply when a message arrives, a quote is accepted or a visit is booked. No code and no extra tools needed.
- AI connectorAdd Karya Falak to your own Claude or ChatGPT as a custom connector. Ask what’s on today, then draft replies, move jobs and book visits with permission.
- ImportBring customers, price book items and open jobs across by CSV, with presets for ServiceM8, Tradify, Fergus, Jobber and simPRO. Preview first, undo for 7 days.
- QuotesSend quotes as a link your customer opens on their phone, ticks the extras, signs and accepts. Deposits, revisions and markup on cost, with GST done right.
- InvoicingAustralian tax invoices from the job card: GST worked out to the cent, your ABN checked, PayID and bank details on a payment slip, and overdue reminders sent.
- Online paymentsCustomers pay invoices and quote deposits online through your own Stripe account: card, PayTo or direct debit. Paid shows on the job by itself, no chasing.
- SchedulingBook visits on a team Calendar by person, with leave, public holidays for every state and clash warnings. Repeating visits and customer reminders included.
- Field appYour crew’s day on their phone: today’s visits in order, every job on a map, gate codes before they knock, On my way in one tap, and it works with no signal.
- Online bookingA booking page that offers only your real free times, limited to the postcodes you cover. Customers request or book on the spot, then move or cancel themselves.
- Client hubOne link per customer, no password: their quotes, visits and invoices in your business name. They accept, pay and ask for more work without calling you.
- Price bookKeep your items, labour rates and kits with cost and margin in one price book. Pick lines as you type a quote or invoice, and import or export it by CSV.
- Job costingSee what each job really made: invoiced amount less labour, materials and expenses with receipts. Profit per job and per repeating visit, with a CSV report.
- ReportsReports for who owes you money, payments received, GST on sales for your BAS (G1 and 1A), quote win rate, visits and team performance, each with a CSV export.
How the features fit together
Most of Karya Falak follows one path: message, card, quote, visit, invoice, paid. Each step happens on the same card, so nobody retypes a customer’s details or hunts through a phone for the last message.
Each feature is a switch. The business type you pick at sign-up turns on the ones that fit, and you can turn the rest on or off in Settings. An IT team does not see visits or job sheets unless it switches them on, and a plumber sees jobs and sites rather than tickets and requests.
Messages and enquiries
- Shared inbox: email and your web form in one inbox the whole team works from. Every conversation becomes a card, with saved replies and a record of who replied and when.
- WhatsApp: your own WhatsApp business number in the same inbox, shared by the team, with the 24-hour reply window and message templates handled for you.
- SMS: an Australian number for two-way texts, plus On my way and Running late messages from the job, as an add-on.
- Web forms: a hosted enquiry form you shape yourself. Each form sent turns into a card with the answers on it.
Organising the work
- Job board: boards like Trello with any columns you want, limits per column, a table view, saved views, labels and your own fields. A card can have several people, each in a named role.
- Automations: rules that label, assign, move a card or reply when a message arrives, a quote is accepted or a visit is booked. Reply targets count only your business hours.
- Claude and ChatGPT connector: connect your own Claude or ChatGPT account and ask what is on today or which jobs are done but not invoiced. It works as you, with your permissions, and asks before it changes anything.
- Import: bring contacts, materials and jobs from ServiceM8, Tradify, Fergus, Jobber or simPRO, tasks from Trello, Asana, Jira, monday.com or ClickUp, or any spreadsheet. Every row is previewed first, and an import can be undone for seven days.
Quotes, invoices and getting paid
- Quotes: send a quote as a link. The customer ticks optional extras, signs with a finger and accepts online, or asks for changes. Markup on cost and templates with a cover photo are built in.
- Invoicing: Australian tax invoices from the job, with your ABN checked, GST per line, PayID and bank details, a payment slip with a QR code, overdue reminders and several jobs on one invoice.
- Online payments: customers pay by card, PayTo or direct debit through your own Stripe account, and the invoice marks itself paid. Saved cards and auto-pay for repeating work sit alongside.
- Price book: your items, rates and kits with price, cost and margin, offered as you type a quote or invoice line.
- Job costing: expenses with receipts and each person’s hourly cost, so you can see profit per job and per repeating visit.
Visits, the crew and your customers
- Scheduling: a team Calendar by month, week, day or agenda, with repeating visits, leave, Australian public holidays for each state and a warning before you double-book someone.
- Field app: the day’s visits in order on your crew’s phones, a map of the jobs, On my way in one tap, and photos and a signature to finish. It keeps working with no signal. The Karya Falak Field app runs on iPhone and Android.
- Online booking: a booking page that offers only times you are really free, with postcode limits, public holidays closed and a link for customers to move or cancel.
- Client hub: one link per customer, no password, where they see their quotes, visits and invoices, accept, pay and ask for more work.
Knowing how the business is going
Reports cover money owed by age, payments received, GST on sales for your BAS (G1 and 1A, on an accrual or cash basis), quotes won and lost, visits and time on visits. Every report exports to CSV for your bookkeeper.
Features every business gets
Some things are not switches at all. Every organisation has them from the first day.
- Notifications in the app, by email and as a push, for mentions, assignments and new conversations.
- An activity log on every card: who changed what, and from what to what.
- Your logo and colours on every PDF and customer page.
- Data stored in Sydney, with one business kept apart from another by the database itself.
- Export of any board column to CSV or text, and an export of all your contacts and boards whenever you want one.
What Karya Falak does not do
It helps to know the edges before you switch. Karya Falak has no built-in AI of its own: the Claude and ChatGPT connector works with your own account. Refunds and credit notes are made in Stripe or your accounting system, not inside Karya Falak. PayID and bank transfer payments are marked paid by hand. It is not a rostering, wages or stock control system, and it does not plan routes.
Questions
Do I have to use every feature?
No. Each feature is a switch in Settings. Your business type turns on a sensible set, and you can change it at any time.
Which features cost extra?
Only two things are charged on top of a plan: the SMS add-on and field members who use just the Field app. Everything else on this page is in both plans. See pricing.
Does it work for businesses that are not trades?
Yes. Office and support teams, IT businesses and hospitality venues use the same inbox and boards with their own words, such as ticket and request instead of job and site. See industries.
Are WhatsApp, SMS, card payments and the Field app included?
Yes. WhatsApp lands in the shared inbox on both plans, and SMS comes with the text messaging add-on and an Australian number. Online card payments, saved cards, auto-pay and quote deposits run through your own Stripe account. The Field app runs on iPhone and Android. Everything listed here is in the trial.
