Plumber quote template for Australia

A good plumbing quote says exactly what you will fix or fit, which parts go in, what the labour costs and what happens if you find more behind the wall. Use this free plumber quote template for Australia, which starts with example lines for a hot water replacement, then read the notes on call-out fees, parts, deposits and warranties that cause plumbers the most arguments.

What to put on a plumbing quote

  • Your business name, ABN and plumbing licence number. Customers look for the licence, and your state regulator may require it.
  • The site and what you found, such as "existing electric storage unit in the laundry, leaking at the base".
  • Each major part on its own line, with make and model for a hot water unit or tapware.
  • Labour as hours or as a fixed price for the job.
  • Removal and disposal of the old unit or fixtures.
  • Any compliance certificate your state requires for the work, and who lodges it.
  • A valid-until date. Unit prices move, and without one you may have to honour an old price.

Call-out fees and after-hours rates

Consumer Protection WA says a call-out fee that isn’t in the quote doesn’t have to be paid. Put yours in writing, and say whether it comes off the job if the customer goes ahead. Do the same for after-hours, weekend and public holiday rates, so a burst pipe at 9 pm isn’t a surprise on the invoice.

Quote the investigation, estimate the repair

A hot water swap can be priced exactly. A blocked drain or a hidden leak often can’t, until a camera has been down the line or a wall opened. Price the investigation as a fixed line, such as a drain camera inspection, and give the repair as an estimate that is clearly labelled, or as options. Regulators say an estimate must be a careful one, and the final bill shouldn’t be much higher. If you find more work once you start, stop and get the customer’s agreement before doing it. See quote vs estimate.

Repair or replace: put both on one quote

Many plumbing calls end in a choice: repair the old unit or replace it, gas or heat pump, standard or premium tapware. Put the choices on one quote as Option A and Option B, so the customer compares them side by side instead of ringing you back. In Karya Falak each option is a group of optional lines the customer ticks on their phone, and the total changes as they choose.

Deposits and warranty notes

A deposit to cover a hot water unit or special-order fixtures is common. Consumer regulators tell consumers to pay a small deposit, no more than 10%, and where your work counts as residential building work some states cap it by law. The general quote template lists the state limits we checked.

Keep two warranties apart: the manufacturer’s warranty on the unit or tapware, and your own workmanship warranty. Say how long yours lasts and what it doesn’t cover, such as blockages from what goes down the drain. Whatever you write, the consumer guarantees still apply, so the work must be done with due care and skill.

Send it as a quote customers accept online

In Karya Falak you save your common jobs, such as a hot water replacement, as quote templates with a cover photo, and build kits of parts in your price book. Type your cost and a markup and the price fills in; the customer never sees the margin. The customer accepts and signs on their phone, and if you asked for a deposit, its invoice is issued straight away. More on software for plumbers and quotes. Questions

Should a plumbing quote include GST?

If you are registered for GST, yes. Give homeowners the GST-inclusive total; the ACCC treats "plus GST" in small print to consumers as a risk.

Can I charge to come out and quote?

Yes, if the customer knows before you go. Tell them when they book and put the fee on the quote, or they may not have to pay it.

What if I find more work once I start?

Stop and ask. A tradesperson needs the customer’s agreement before doing extra work, so send a revised quote and get a yes first.
