An invoice app for tradies Australia-wide: tax invoices straight from the job

Karya Falak is an invoice app for tradies Australia-wide, and for other service businesses. One click turns a job into a tax invoice with GST worked out line by line, your ABN printed in the ATO’s format, and your PayID and bank details on a payment slip. Send it, see when it is paid, and let the reminders chase the late ones.

What goes on every invoice

Karya Falak is built around Australian tax invoice rules. If your business is registered for GST, the document is titled “Tax invoice”; if not, it simply says “Invoice”. Your ABN is checked against the ATO’s check-digit rule when you enter it, so a typo is caught before it reaches a customer, and it prints as “51 824 753 555”.

  • Your legal and trading name, ABN and address.
  • The buyer’s details, filled in from the contact and fixed when the invoice is issued. If you are registered for GST, an invoice of A$1,000 or more including GST will not issue without the buyer’s name or ABN.
  • Each line with its quantity, price and tax code: GST at 10%, GST-free or input-taxed.
  • GST shown per line and in total, worked out in whole cents and stored, so the document never changes later.
  • Your bank account, BSB and PayID, with the invoice number as the payment reference.

Prices with or without GST

Prices are entered including GST by default. Switch a line to exclusive and Karya Falak adds the GST on top. Labour at A$88.00 including GST for 2.5 hours is A$220.00 with A$20.00 GST in it; parts at A$120.00 plus GST are A$132.00. The maths is the same on the quote, the invoice, the PDF and in Xero or QuickBooks.

Numbered once, never edited

A draft has no number and can be changed or deleted. When you issue it, it takes the next number, such as INV-0042, with no gaps and no duplicates even when two people issue at the same moment. After that the database itself refuses any change to the lines. To correct a mistake, void the invoice with a reason, which keeps its number and records who voided it and why, then issue a new one.

A document that looks like your business

  • Your logo and colours, one of six themes and four header layouts, including single and dual window DL envelopes.
  • An Australian payment slip with a QR code at the foot of the invoice.
  • PAID and OVERDUE stamps on the PDF.
  • A job sheet you can print from the same job.

Getting paid by PayID and bank transfer

Your PayID (email, phone, ABN or organisation identifier) and bank details print on every invoice and on its pay page. When the money lands, record it in two clicks: the method, the amount and the date. Part payments add up, and an overpayment is refused. Karya Falak does not read your bank feed, so these payments are marked paid by hand, or come back from Xero or QuickBooks if you record them there.

Changing the account number or PayID is limited to owners and admins, and every change is kept in the audit log with the old and new values. Quietly swapping bank details is a common invoice fraud; here it cannot happen unseen.

If you connect Stripe, the same invoice can also be paid online. See online payments.

Overdue invoices chase themselves

Once an invoice is past its due date in your own time zone, it shows as Overdue and whoever has the job is told. Turn reminders on and the customer gets a polite message 1, 7 and 14 days after the due date, or on the days you choose, with an optional reminder before it is due. They go on the conversation the job came from. The reminders stop as soon as the invoice is paid or voided. The money owed report shows who owes what, by how many days late.

Invoice more than one job at a time

  • Put several jobs for the same customer on one invoice, or start a new invoice from anywhere.
  • Repeating visits can be invoiced per visit or once a month, as drafts to check or issued and sent automatically. See scheduling.
  • A rule can make a draft invoice when a card moves to a column such as “Done”. Rules never issue or send an invoice on their own.
  • Billable expenses from job costing can be added to a draft at cost plus your markup.
  • Every list exports to CSV: number, customer, dates, total, GST, paid, outstanding and status.

Your books stay in Xero or QuickBooks

Issued invoices, customers and payments go to Xero or QuickBooks Online with the same lines and tax, to the cent. A payment recorded in your accounting system comes back and marks the job paid.

Questions

Do I have to be registered for GST?

No. If you are not registered, your invoices are titled “Invoice” and carry no GST. Change the setting when you register and new invoices become tax invoices.

Can I issue credit notes?

Not in Karya Falak. To correct an issued invoice, void it with a reason and issue a new one. The voided invoice keeps its number for your records. If the GST on it was already reported on a BAS, ask your bookkeeper whether an adjustment note is needed.

Are PayID payments matched automatically?

No. PayID and bank transfers are marked paid by hand in two clicks, or come back from Xero or QuickBooks if you record them there.

Can customers see all their invoices in one place?

Yes, in their client hub: overdue, to pay and paid, each with its PDF.
