Software for Australian electricians

Karya Falak is electrician software for Australian electrical contractors. Fault calls, quote requests and repeat compliance work all land on one board as job cards. You quote switchboard upgrades and EV chargers from your price book, the customer accepts and signs online, and you book the job on a Calendar that knows your state’s public holidays. Your sparkies record the job in the Field app with photos and a checklist, and the GST tax invoice goes out from the same card to Xero or QuickBooks.

Electrical work comes in three shapes

Fault calls are short and urgent: the power is out, the safety switch keeps tripping, half the house has no lights. Installs are quoted and planned: switchboard upgrades, downlight changeovers, ceiling fans, EV chargers, and solar and battery work for contractors who do it. Then there is compliance work that repeats, such as test and tag for builders and offices, and smoke alarm upgrades for landlords and homeowners.

Each shape needs something different from your software. Fault calls need speed and a clear owner. Installs need a quote the customer can say yes to quickly. Repeat work needs to turn up on the Calendar without anyone remembering it. Karya Falak keeps all three on one Jobs board. Every card has a Job type, and fault calls marked urgent show on their own under the board’s Urgent filter.

Quoting a switchboard upgrade or EV charger

Most electrical installs start with a look at the board. Your electrician takes photos on site, and they go straight onto the job card for whoever writes the quote. Build the quote from your price book. A switchboard upgrade kit can hold the enclosure, main switch, RCBOs, labour and the connection paperwork at your cost and margin, so every upgrade is priced the same way no matter who quotes it.

Optional extras let the customer choose without another round of emails. Add surge protection, an extra circuit for the garage or a load management device as items they can tick. They accept and sign on their phone. If they say "drop the second circuit", they ask for the change on the quote page and you send a revision. When it is set up, a deposit can be paid on acceptance, which covers the parts you order for the job.

The quotes won and lost report gives your win rate, why customers declined and every quote in the period, with a CSV export, so you can compare EV charger quotes with downlight jobs. See the electrician quote template for what an electrical quote should include.

Smoke alarm upgrades in Queensland

Queensland’s rules require interconnected photoelectric smoke alarms in every existing home by 1 January 2027, according to the Queensland Fire Department (checked 30 October 2026). For Queensland electricians that means a run of similar jobs over the coming months, and many will come from property managers with a list of addresses.

Treat it as a repeatable product. Make a quote template with your standard alarm kit and terms, and send it to every enquiry with only the alarm count changed. Put a booking page on your website so homeowners can choose a time from your real free slots, limited to the postcodes you cover. Choose request mode so the office confirms each one, or instant mode for straightforward jobs. For a property manager with ten addresses, batch invoicing puts several of their jobs on one invoice, with the lines grouped under each job.

Test and tag and other recurring work

Test and tag intervals depend on the environment. WorkSafe Queensland’s guide lists three months for portable equipment used in construction work (checked 30 October 2026), and other workplaces run on longer cycles. Either way, the visit has to come round again without anyone chasing it.

A visit can repeat every set number of weeks or months, so a builder’s site gets a visit every three months and an office every twelve. Visits are made 12 weeks ahead, so the Calendar shows the quarter’s work before it arrives. Invoice each round on its own, or send the client one monthly invoice. Profit is worked out per repeating visit, so you can see whether a contract you priced two years ago still pays. Karya Falak doesn’t keep a register of each tagged item. Most testers keep that in their test and tag software, and you can attach the report to the job card.

Checklists, photos and certificates on site

In Settings you build job forms from tick, number, yes/no, choice, date and photo questions. An electrical form might record that the RCDs were tested, the polarity checked, the test results entered and a photo of the finished board taken. Attach it to every installation automatically by job type and mark the important answers as required. The electrician can’t finish the visit in the Field app until they are done, even with no signal in a ceiling space.

Karya Falak doesn’t lodge your state’s electrical safety certificate, such as Victoria’s Certificate of Electrical Safety or the NSW Certificate of Compliance for Electrical Work. You still complete those through the regulator. Attach a copy to the job card so the office can find it later.

Fault calls without the phone tag

A customer with no power wants to know someone has the job. Their web form or email becomes a card on the Incoming board, and an automation can assign it to the electrician you choose. The inbox keeps a record of who replied and when, and WhatsApp and SMS messages land in the same inbox. When the electrician taps On my way, the customer gets a message from your business with the arrival time.

You can add a live link to that message. It shows the electrician’s first name and a rough position, only while they are on the way, and stops when they arrive. It is off unless you turn it on.

Invoices that reflect the real job

Fault-finding is hard to price ahead, so the time on site matters. The Field app records when your electrician arrived and left, and that time becomes labour lines on the invoice, rounded to the minute, quarter or half hour. Cable and fittings bought at the wholesaler go on the job as expenses with a photo of the receipt, and billable ones can be added to the invoice with your markup.

The invoice meets ATO tax invoice rules, with your ABN checked and your PayID and BSB printed. Customers can pay by card or direct debit through your own Stripe account. Everything syncs to Xero or QuickBooks, and the GST on sales report gives you G1 and 1A for your BAS.

Questions

Can I set up reminders for test and tag rounds?

Yes. Book the first visit and set it to repeat every three, six or twelve months. Each visit is made 12 weeks ahead on the Calendar, and you can invoice each round or bill monthly.

Can apprentices see only their own jobs?

Yes. A field member sees only the jobs they are on, in the Field app. Field members are A$9 a month each and do not use one of Starter’s 10 office seats.

Does Karya Falak lodge electrical safety certificates?

No. You complete certificates through your state regulator as you do now, and attach a copy to the job card so it stays with the job.

Can I quote with options, like surge protection?

Yes. Add optional items to the quote and the customer ticks the ones they want before signing. If they want something changed, they ask on the quote page and you send a revision.
