Stripe invoice payments with Karya Falak

Karya Falak handles Stripe invoice payments through your business’s own Stripe account, using Stripe Connect, for invoices and quote deposits. The customer opens the invoice link, pays by card, PayTo or BECS direct debit where your account offers them, and the invoice marks itself paid. The money goes straight to your Stripe account and never passes through Karya Falak.

Your Stripe account, your money

Karya Falak links to a standard Stripe account that belongs to your business. You finish Stripe’s onboarding, Stripe pays out to your bank, and disputes and refunds are handled in your Stripe dashboard. Karya Falak takes no fee on these payments at present. Stripe’s own fees apply.

Linking takes a few minutes: Karya Falak opens Stripe’s own onboarding, and you finish it with Stripe.

What your customer sees

Every invoice has a private pay link. It opens a page with the invoice, a PDF to download, Stripe’s payment form and, below it, your bank and PayID details for anyone who would rather transfer. A card payment marks the invoice paid as soon as Stripe confirms it. PayTo and direct debit show as processing until the bank confirms, then as paid.

There are no tips and no surcharges added at the payment step.

Saved cards and auto-pay

  • Customers can tick Save this card for future invoices when they pay, with a clear consent they agree to first.
  • In the client hub they can see their saved cards, add one, choose a default or remove one at any time.
  • For repeating visits, turn on auto-pay and the saved card is charged when each invoice is issued.
  • If a charge fails, the office is told and the customer gets a message with a link to update their card. Karya Falak tries again at 24, 48 and 72 hours, four attempts in all.
  • Karya Falak stores only the card brand, last four digits and expiry. The card itself stays with Stripe.

Deposits on quotes

A quote can ask for a deposit. The customer’s button reads Approve and pay deposit and goes straight to the deposit’s pay page. When the job is invoiced, the deposit comes off as a Less deposit line, and only once, so nobody pays it twice. Deposits carry GST like any other invoice.

Setting it up

  • Go to Settings, Invoicing, Online payments. Only the owner can do this.
  • Choose Connect Stripe and finish Stripe’s onboarding.
  • Turn on the payment methods you want in your Stripe dashboard: card, and PayTo or BECS direct debit if your account offers them.
  • Issue an invoice. Its pay link is ready to send by email, or in any message from the job.

Works with your accounting

Card payments are recorded on the invoice with the Stripe charge as the reference, then sent to Xero or QuickBooks, to a separate account if you choose one, so they are easy to reconcile against Stripe’s payouts.

PayID and bank transfer still work

You do not need Stripe to get paid. Bank transfer and PayID details, with a payment slip and QR code, are on every invoice, and you record those payments yourself when they arrive. Stripe adds card payments that confirm themselves. For more ways to get paid sooner, read how to get paid faster.

Questions

Does the money go through Karya Falak?

No. Payments go to your own Stripe account and Stripe pays out to your bank. Karya Falak only receives the notice that the invoice was paid.

What does Stripe cost?

Stripe sets its own fees, which you pay to Stripe. Karya Falak takes no fee on these payments at present. Check Stripe’s pricing page for current rates.

Can I refund a customer from Karya Falak?

Refunds are made in your Stripe dashboard. Karya Falak records the refund when Stripe tells it.

Can my customers pay by PayTo or direct debit?

Yes, if your Stripe account has PayTo or BECS direct debit turned on. The pay page offers only the methods your account allows.

What happens if a customer disputes a payment?

The dispute shows on the invoice and the owner is told. You respond to it in Stripe.
